Project Communications

Overview

Communication through Procore is possible in most tools. This section nominates the common types of formal project communication (notices, directions etc.) that will use various purpose-built tools in Procore.

Considerations

  • General day-to-day communications between Fletcher Industrial Development Team Members, Consultant’s Team Members and Contractors that are not of a significant nature and do not need to be centrally recorded, should not be processed through Procore.

  • Procore does not replace your current Email platform, it simply provides purpose-built tools for certain communication functions.

  • This section does not cover every piece of communication that can / will be issued. Whenever a person is nominated as the Assignee or on a Distribution List within a tool, the person will receive an automatic email notification from Procore. Email notification preferences can be adjusted in the settings for each tool.

Communication Types – Initiated By Consultant

The Consultant is responsible for initiating the following Communication types:

  • Defects - Initial communication to Fletcher Industrial Development of defects that have been identified on site

  • Observations / task assignment relating to:

    • Commissioning – Calibration, Documentation, Isolation / Decommissioning, Sequence, Testing;

    • Quality – Deficiency, Non-Conformance, Preventative Action;

    • Warranty – Maintenance, Service Call;

    • Work to Complete – Feedback (Complaint, General Feedback / Suggestion, Lesson(s) Learnt, Opportunity for Improvement)

  • RFIs - Issuing general Requests for Information

Communication Types – Received By Consultant

If required by Fletcher Industrial Development, the Consultant may be assigned the following items initiated by others:

  • Submittals – For the review and comment on Samples and Shop Drawing submissions.

 Handy Tips

  • Use the “talk to text” Microphone Symbol High Res Stock Images | Shutterstock button in any scenario where you would typically just type out the words. Talk at your device and let it convert it to text. The more you use this, the better it gets at recognizing your voice.

Responses and supporting documents received in email inboxes outside of Procore can be forwarded into Procore - From the project menu, select the applicable Tool, find the Item you are looking for, click on its Info button, then click on the Emails tab. This will display a unique email address for that item which emails can be forwarded to. Any forwarded email will appear in this Emails tab.
