Overview
Guidance for communications using the specific tool configurations implemented for Fletcher Industrial Development are covered earlier in this Procore Guide. When it comes to a general approach for communications, Procore provides a wide range of methods to communicate with your team and wider project group using purpose-built projects tools. There are a range of methods to enable effective communication when using Procore, with a number of these methods not understood or realised. This section will provide a guide to the various methods to ensure effective and tracked communication in Procore.

Native Tool Communications In all situations it is recommended to action items into the specific Procore tool for the activity you need to understand. Each tool is provided with specific notification automations, as well as preferences that allow you to customise when and to who notifications related to activity and communication for that tool are issued (e.g. RFI Tool notifications). |

“Email” button from Tools Each tool is Procore has an “Email” button, generally on the right-hand side bar. Using this button allows you to send Procore Emails outside of the main activity thread/actions to discuss specific aspects related to the item. When using this function, all Procore Emails will be stored in the “Email” subtab of the item. The sent items will arrive as a Procore email notification in the recipients email client, to which they can simply click ‘Reply’ in their email client. The replies will log into the “Email” subtab of the item, before also being then sent to the return recipients email client. This process continues and allows you to ‘fall back’ to email after triggering the Procore Email from the tool.

Tool Activity Email Address Further from the above, each activity or item in Procore is provided with a unique email address. You can locate this email address by navigating to the Email subtab. Sending emails from your email client to this address will initiate new communication thread under the “Emails” subtab. |

Email Tool Procore also provides a specific Email Tool for use on your Projects. This tool is not designed to replace your existing email client (e.g. Outlook), but rather act as a light email tool for use on projects. The Emails tool is considered a legacy tool, and often replaced by more modern Procore tools such the Correspondence Tool. The Email tool if used, it recommended for internal team members only and for the purpose of a refuge for storing emails that occurred outside of Procore but need to be kept for potential future reference. Outlook Add-in The Procore Outlook Add-in provides various methods to connect email communications in your email client to new and existing items in Procore. Should other project stakeholders start communications in email, then you should use the Outlook Add-in to push these items into Procore. It is highly recommended to create a secondary ‘Inbox’ in your email client (e.g. Outlook) to funnel all Procore notifications and communication into a dedicated location. You can do this but setting a rule in your email client to push all emails with the “@procoretech.com” domain into this folder.
