Send Defect List Items (iOS)

Objective

To email defect list items from your iOS mobile device.

Things to Consider

  • Required User Permissions
    • 'Admin' on the project's Defect List tool.
      Note: 'Read Only' users cannot be assigned a defect list item.
    • 'Standard' permissions on the project's Defect List tool for users who are listed as Default Defect Item Managers in the Defect List configuration settings, see Configure Advance Settings: Defect List. 
  • Additional Information:
    • The defect list item must already be created and saved before you can email it.
    • You can send defect list items in bulk using the Review function or you can email defect items individually.
    • Once an initial email notification has been sent, selected Assignees will receive daily notifications of overdue items via email; email notifications will end after 45 days.

Steps

Review and Send Defect List Items

  1. Navigate to the project's Defect List tool on your iOS mobile device.
  2. Tap Ball in Court Items to view items that currently require your action.
    OR
    Tap All Items to view all defect items.
  3. If there are defect items ready to be sent, a yellow banner appears above the items.
  4. Tap Review.

  5. If a defect item does not have an Assignee listed, the item is labelled with 'Can't Send - Assignees Missing' .
    1. Tap the defect item.
    2. Tap the names of one or more users from the Contacts, Companies or Groups tabs that you want to add.
    3. Tap Done
      Note: After tapping done, the selected assignee(s) is automatically added to the Assignees field on the defect item.
  6. Tap an item to select or deselect it or tap Select All or Deselect All.

  7. Tap Send.
    Note: An email notification is sent to the Defect Item Manager and the Assignees listed on each item.

Email Individual Defect List Items

  1. Navigate to the project's Defect List tool on your iOS mobile device.
  2. Tap the defect list item you want to email.
  3. Tap the Share icon-share-ios.png icon.

  4. Tap into the following fields to enter the relevant information:
    • To: Add the user(s) who will receive the email.
    • CC: Add the user(s) you want to copy on the email. 
      Note: You (the creator of the email) will be automatically CC'd on the email.
    • BCC: Add any user(s) you want to blind carbon copy on the email.
    • Subject: The subject of the email is automatically populated with "FW: defect list Item: [#]: [title of item]". You may edit this as necessary.
    • Message: Tap into the body of the email to add a message or any additional comments that will be visible on the email.
  5. Tap Send.
