Accept or Reject Subcontractor Progress Claims for Export to ERP

Objective

To accept or reject a subcontractor progress claim that has been sent to the ERP Integrations tool for acceptance by an accounting approver.

Background

After a user sends a progress claim to the ERP Integrations tool for accounting acceptance, an accounting approver has the option to 'Accept' or 'Reject' the progress claim.

Things to Consider

  • Required User Permissions:
    • 'Admin' to the company's ERP Integrations tool.
      AND
    • The person's account must be granted the 'Can Push to Accounting' privilege in the Company Directory. Note: This privilege can only be be granted by Procore.
  • Prerequisites, limitations, and considerations will vary depending on the ERP system your Procore account is integrated with. See Things to Know about your ERP Integration for details.

Steps

Review a Progress Claim

  1. Navigate to the company's ERP Integrations tool.
  2. Click the Subcontractor Progress Claims tab.
    Note: If your web browser is minimised, click the More link and select Subcontractor Progress Claims from the list. 
  3. Under Filter Progress Claims By, make sure the Ready to Export link is highlighted. 
    The page that appears lists only the progress claims that have been sent to the ERP Integrations tool for accounting acceptance. 
  4. Continue with one of the following:

Accept a Progress Claim

  1. Select the progress claims you want to accept for export.
  2. Click Export.
    This sync process typically takes a few minutes. 
    • If for any reason a progress claim fails to export, you can view the failed item(s) by clicking the Failed to Export link in the Views menu in the right pane. 

Reject a Progress Claim

  1. Select the progress claims you want to reject.
  2. Enter the reason(s) for rejecting the progress claim in the Reason box. Then, click Reject.
    The following events occur:
    • The system removes the progress claim from the ERP Integrations tool and returns it to an editable state in the project's Commitments tool in the Progress Claims tab. 
    • The system sends an automated email notification to the user who created the progress claim to alert this person of the 'Reject' response.
