* If your company purchased the legacy Workflows tool, your company's Procore Administrator must submit an enablement request to your company's Procore point of contact. Your Procore Administrator will work with your Procore point of contact to create workflows.
Below are the notable changes to the Company Workflows tool.
If your company uses the new Workflows tool, you'll find legacy workflow history—including past approvals, timestamps, step names, and comments—in the Workflows Builder's side panel. This ensures you keep an item's complete history. Is your company still using legacy Workflows built by Procore Custom Solutions and interested in moving to the new Workflows tool? Procore updated the Workflows tool to enhance user understanding when workflow steps are associated with conditional logic. Users with the required user access permissions to a workflow can now see the name of the specific conditional step and its result within the History side panel. This improvement clarifies workflows that use conditional steps and reduces potential confusion. To learn more, see View Complete Workflow History as a Workflow Participant.
Procore has introduced the ability to configure workflows at the project-level, enhancing flexibility for project teams by allowing them to create and customise workflows directly within their project environment. With this feature, project teams can create, edit, and manage workflows at the project level, bypassing the need for company-level permissions. When using the Workflows Builder in the Company level Workflows too, the Tool menu options are now alphabetized, and the Document Management tool only shows if it's enabled on your Procore company account. The Document Management tool is only available in select regions. This enhancement streamlines the user experience with a more organised and relevant tool display. Procore introduced a smarter notification system that automatically informs all members of the item creator's company assigned to the project. The new 'Item Creator’s Company' option allows workflow managers to dynamically include all relevant users from the creator's company, improving communication and streamlining project co-ordination. The Procore Change Orders Workflow has been enhanced to streamline the user experience. The Workflows panel now opens automatically directly from the workflow email links, reducing clicks and improving efficiency for construction stakeholders.
The budget code level conditional logic for commitments Workflows is now generally available, enhancing the ability to manage budgets effectively. Workflow managers can now assess the impact of new subcontracts, purchase orders, or change orders on individual budget code items, providing greater insight into budget management. Customers using Procore in English can now choose from a selection of pre-populated quick start workflow templates for financial tools. These templates can be used as-is, or edited to meet your company's needs. Quick start workflows templates are not available outside of English speaking regions at this time. Procore introduced a new feature that allows users to group multiple response options and route them to a common step in a workflow. This enhancement simplified the workflow configuration process by eliminating the need to duplicate steps for similar responses, improving workflow visualisation and management. This feature allows workflow managers and project administrators to perform bulk updates to role assignments across all active workflows simultaneously. This eliminates the need to manually update each individual workflow when replacing one or more users involved in multiple workflows. See Bulk Update Workflow Role Assignee.
Procore has updated the Workflows tool to provide greater flexibility to workflow creators managing assignee roles and response requirements. Decision types are now used to determine which response options can be applied to workflow steps. Multiple assignee roles can be added to a single 'Response' step and have the step's final decision determined by everyone or just specific members. Additionally, users configuring workflows within a tool's settings can now assign members to all of the assignee roles assigned in the company template. Delivery of workflow email notifications has been improved in situations where users may receive many separate emails close together. When this happens, notifications may be stored and collected for a short period of time and sent later as a single digest email.
Additionally, several other new types email notifications have been introduced to keep workflow managers and responders informed.

Existing project workflow configurations are now preserved when publishing a new version of a workflow template.* After updating a template in the Workflows tool, such as a step's name or the status associated with it, the update is now seamlessly applied to project items using that workflow template.
The following workflow template changes can now be made without requiring further project configuration updates:
*Creating new custom template roles for new or existing steps will still require project level configuration once the updates are published. See Configure a Custom Workflow Template on a Project.
Head Contract Progress Claim has been added to the list of tools supported by the self-serve workflows open beta. See Best Practices for Creating an Owner Progress Claim Workflow.
Procore has updated the Commitments tool for participants in the Workflows Beta program. A new 'Workflows' column is now automatically added to the 'Contracts' table in the Project level Commitments tool when you complete the steps in Create a Custom Workflow Template for Commitments. Clicking the icon in this new column shows the name of the workflow manager, its current state and the number of days (if the workflow is overdue). At this time, the column data is not included in CSV or PDF exports from the Commitments tool. It is also not synced with the ERP Integrations tool.
Four additional conditional logic options have been added as options when creating commitment workflow templates. Amount Over budget on Approved Cost Objects, Amount Over Budget on All Cost Objects, Percent of Budget Allocated to Approved Cost Objects, Percent of Budget Allocated to All Cost Objects.
