Export the Project Directory to CSV or PDF

Objective

To export the Project Directory to a Comma Separated Values (CSV) or Portable Document Format (PDF) file. 

Background

The Export feature provides users with a way to download data stored in a tool. It also supports two export file formats (e.g., CSV and PDF). Depending on your web browser's settings, the system will either open the file or download it to the 'Downloads' location on your computer. Typically, this is a 'Downloads' folder on your computer. However, your browser's settings may be different. See your web browser's Help system or visit the manufacturer's support site to learn how to change the download location. 

Things to Consider

  • Required User Permissions:
    • 'Read Only' level permissions or higher on the Project level Directory tool.
  • Additional Information:
    • The 'Contacts', 'Inactive Users', 'Inactive Contacts' and 'Inactive Companies' views cannot be exported.

Steps

  1. Navigate to the Project level Directory tool.
  2. Click the tab that corresponds to the view that you want to export. You can choose from Users, Companies, or Distribution Groups.
  3. Click Export.
  4. Choose one of the following options:
    • PDF. Select this option to download your Project level Directory data as a PDF file.
      Note: The PDF includes a summary all of the Companies and Users in the database. It also lists any Distribution Groups that have been created.
      OR
    • CSV. Select this option to download your Project level Directory data as a CSV file.
      Note: The CSV file contains the following data columns for each record in the Directory: Person/Vendor, Id, Entity Type, Entity ID, First Name, Last Name, Company, Job Title, Country, Address, City, State, Zip, Business Phone, Mobile Phone, Fax Number, Email, Tags/Keywords, Project Roles, Trade(s), Permission Template and Standard Cost Code List.

The exported file will either open in a new tab in your web browser or download to the download location specified by your web browser's settings.
