Create a Tender Form (Beta)

Objective

To create a tender form before you invite companies to tender.

Background

A tender form must be created for a tender package before you can add companies and invite them to tender. Tender forms make it easier to break down scope and cost information and help to standardise the responses that are being received from tenderers. They can also help you better assess coverage by allowing you to customise how you organise your tenderers. After inviting companies to tender with tender forms, you can easily compare tenders with Tender Levelling. See Level Tenders for a Tender Form.

Things to Consider

  • Required User Permissions:
    • 'Admin' level permissions on the project's Tendering tool.

Steps

  1. Navigate to the project's Tendering tool.
  2. Click View next to the tender package you want to add a tender form to.
  3. Click Create Tender Form.
  4. In the 'Bid Form Name' field, enter a name for the new tender form.
  5. Complete the following sections:
 Tip

You can adjust the columns in the Base Tender and Alternates sections. See the steps below.

  1. Click the vertical ellipsis icon-ellipsis-vertical.png icon in the 'Items' or 'Descriptions' column. 
  2. Choose from the following options:
    • Pin Column:
      • Pin Left: Click if you want to pin the column to the left side of the table.
      • Pin Right: Click if you want to pin the column to the right side of the table.
      • No Pin: Click if you want to remove the pin from the column.
    • Autosize This Column: Click to automatically adjust the size of the selected column.
    • Autosize All Columns: Click to automatically adjust the size of both columns.
    • Reset Columns: Click if you want to reset the columns to the default setting.

Base Tender

Fill out the tender form by adding the necessary line items for the project.

  1. Click Add Line Item to begin adding line items.
  2. Click the Select Cost Code menu in the 'Items' column. 
    Tip! Use the Search bar to locate a cost code to select.
  3. Click into the Description field to enter a description for the cost code.
  4. The line item is automatically added. Continue adding additional line items as necessary.
  5. If you want to add Alternates, see the section below. Otherwise, click Save or Save and Add Tenderers. See Add Tenderers to a Tender Form.

Alternates

If you want to allow tenderers to provide alternative options or substitutions on the tender, you can add line items to the Alternates section.

  1. Click Add Line Item to begin adding line items.
  2. Click into the 'Items' column and click the 'Select Cost Code' menu.
  3. Select a cost code from the drop-down menu.
    Tip! Use the Search bar to locate a cost code to select.
  4. Click into the Description field to enter a description for the cost code as necessary.
  5. The line item is automatically added. Continue adding additional line items as necessary.
  6. When you are ready to save the tender form, click Save or Save and Add Tenderers. See Add Tenderers to a Tender Form.
