View Site Diaries in the Calendar View

Background

Use the Calendar tab in the Site Diary tool to view and manage site diary entries for specific dates. The calendar view provides a visual overview of all entries for a month. You can also view and manage site diaries for complete days directly from this view. The Calendar view helps you track the progress and status of activities over time.

Things to Consider

  • Required User Permissions:

    • To view the calendar: 'Read Only' or higher permissions on the project's Site Diary tool.
      Note: Users with the 'Collaborator Entry Only' granular permission enabled on their permissions templates are not able to see the Calendar view.

Steps

  1. Navigate to your project's Site Diary tool.

  2. Select the Calendar tab.
    The Calendar view page appears, displaying the site diary entries for the current month. You can view the status of each entry for a day (for example, added or approved).

    The status of each site diary entry is highlighted in the calendar view, as follows:

    • A blue highlight indicates the day you are currently viewing.

    • A green highlight and checkmark indicate that a day has been marked as complete.

    • A yellow highlight indicates a day with pending entries.

    • A grey highlight indicates that the entries for that day have been approved.

    Note: Days with no data appear as blank calendar days.

  3. To quickly select specific dates, months, and years, use the date picker next to the month and year arrows at the top centre of the page.

    The date picker supports easy navigation and visibility, especially when accessing dates far in the past (for example, January 2025).

  4. (Optional) Switch between different dates, as described:

    1. To view entries for a different day, select the desired day on the calendar.
      Note: You cannot view future dates.

    2. To view the summary for a different day, click the forward or backward arrows on the right side panel.

    3. To view a different month, click the forward or backward arrows next to the month and year fields.

    4. To navigate back to the current day, click Go To Today.

  5. (Optional) To view all logs for the day and add or manage entries, click View Day on the right side panel.

  6. To view log details for a completed day, select the date marked with a green highlight and checkmark on the calendar.
    A banner on the right side panel displays the date and name of the user who marked the day as complete. See Mark a Site Diary as Complete.
