The Equipment tool helps you manage your company's equipment for your worksites. Whether owned or rented, Procore's Equipment tool ensures all machines are optimally used and effectively managed from arrival to departure.
This guide walks you through how to use Equipment in your project's Timesheets, Daywork Sheets, and Budget.
After Equipment is created in your company's Equipment tool, you can add or remove equipment from your project. Equipment can be used in Inspections, Timesheets, Daywork Sheets, and your Budget.
The Equipment tool must be enabled for your project. See Add and Remove Project Tools.
If you have existing integrations for a project that depend on equipment listed in the Project Settings of the project Admin tool, Procore recommends NOT enabling Equipment tool at this time.
Enabling the Equipment tool on a project disables existing third party integrations for that project that rely on the equipment listed in the in the project's Admin tool.
Navigate to the project's Equipment tool.
Click Add and select Add from Company Register.
If an equipment record doesn't exist, you can also create one. See Create an Equipment Record in the Project's Equipment Tool.
Mark the checkboxes for the equipment you want to add.
Click the Add.
Removing equipment from a project makes it unavailable in the project's drop-down menus.
Navigate to the project's Equipment tool.
Remove equipment.
Remove Inline
Hover over the equipment record and click the remove
icon.
Click Remove to confirm.
Bulk Remove
Mark the checkboxes for the equipment you want to remove.
Click Remove from Project.
Click Remove to confirm.
After Equipment is created in your company's Equipment tool, you can add or remove equipment from your project. Equipment can be used in Inspections, Timesheets and your Budget.
To set the current project to show where equipment is onsite in the company's Equipment tool.
You can assign equipment to multiple projects and mark its current project to see where the equipment is onsite when viewing the company's Equipment register.

After you check in equipment from the project, the following is updated in Procore:
The equipment is added to your project's Equipment tool.
The project is set as the 'Current Project' to show where equipment is onsite in the company's Equipment tool.
When scanning the QR Code, the GPS location of your mobile device is used to update the location of the equipment if Location Services are enabled.
Navigate to the Equipment tool using the Procore app on an iOS mobile device.
Tap the equipment record to view details.
OR
Tap the QR code
icon. Then point your camera toward the QR code to open the equipment details page.
If the equipment has not yet been added to your project, tap Add to Project.
Move the 'Onsite' toggle
to the ON position to mark it as 'onsite'.
After you check in equipment from the project, the following is updated in Procore:
The equipment is added to your project's Equipment tool.
The project is set as the 'Current Project' to show where equipment is onsite in the company's Equipment tool.

After a company template is copied to your project, it becomes a project template that can be modified without affecting the company template from which it originated.
Project templates may be modified in the Project level Inspections tool throughout the duration of the project, but changes will only be reflected on project checklists that are created from the modified template.
You can use a default inspection template more than once.
Creating an asset inspection automatically links it to the asset record as a related item.
Add Templates
To create an inspection for assets, you must first configure the following settings:
The Assets tool must be enabled for your project. See Add and Remove Project Tools.
Assets records must be added to your project. See Add or Remove Equipment from Projects.
Assets must be enabled on your configurable fieldset for inspections. See Edit Configurable Fieldsets.
To create an inspection for equipment, you must first configure the following settings:
The Equipment tool must be enabled for your project. See Add and Remove Project Tools.
Equipment records must be added to your project. See Add or Remove Equipment from Projects.
Equipment must be enabled on your configurable fieldset for inspections. See Edit Configurable Fieldsets.
Navigate to the Project level Inspections tool.
Click Create.
Note: If your company does not yet have Company level inspection templates set up, you first need to create an inspection template.

Select Inspection.
Select a default inspection template from your list of templates from the drop-down menu. Note: Templates must be added to your project. See Add Company Level Inspection Templates to Your Project.
Enter the relevant general information for each field.
Name: Enter a name for the inspection.
Number of Inspections. Enter the number of identical inspection copies you want to create.
No. Enter the initial number to begin the sequential numbering for this batch of inspections.
Type. Select the category of the inspection, such as Quality, Safety, or Environmental.
Status. Set whether the inspection is currently Open, In Review or Closed.
Trade. Select the specific construction trade or discipline related to this inspection.
Location. Choose the exact physical area on the worksite where this inspection takes place.
Distribution. Select additional team members who should receive notifications and updates about this inspection.
Private. Check this box to restrict visibility to only admins, assignees, and specific list members.
Spec Section. Link the inspection to a specific project specification number from your contract documents.
Equipment. Associate the inspection with a specific piece of equipment tracked on the project.
Select Existing Equipment
Click the Equipment or Equipment Name drop-down menu select the equipment.
Add Existing Equipment from the Company Equipment Tool
Click the Equipment or Equipment Name drop-down menu and search for the equipment.
When no results appear, click Search Company Register.
Search and select the equipment from the Company level Equipment tool.
Click Add to Project.
Create New Equipment Record
Note: Use this to track equipment you own or are renting longterm. These records are also added to the company's Equipment tool.
Click the Equipment or Equipment Name drop-down menu and search for the equipment.
If it has yet to be created, select Create Equipment.
Click Add to Register.
Enter the equipment information.
Equipment Photo
Click the image.
Select a file from your computer.
Click Open to upload the photo.
Specification Information
Category. The equipment category.
Type. The equipment type.
Make. The equipment make.
Model. The equipment model.
Serial Number. The serial number.
Year. The year the equipment was built.
General Information
Equipment ID. The equipment ID.
Equipment Name. The name of the equipment.
Rate per hour. The cost of the equipment per hour.
Status. The status of the equipment.
Ownership. Indicates if equipment is owned, rented, or subcontracted. If not owned, the following fields are available:
Vendor Name. The name of the equipment vendor.
Rental Start Date. The start date for the equipment rental.
Rental End Date. The start date for the equipment rental.
Assignee. The equipment's assignee.
Note: Assignees must be listed as a user in the Company Directory.
Onsite. Indicates if the equipment is at the project site.
Groups. The group for the equipment.
Note: This is configured in the Resource Planning tool.
Notes. Notes about the equipment
Additional Information
Any additional information about the equipment.
Attachments
Click Attach File and select the file from your computer.
OR
Drag and drop one or more files into the 'Drag and Drop' box.
Click Create.
Create Unmanaged Project-Only Equipment
Note: Use this to track temporary equipment, such as a rented generator. These records are not added to the company's Equipment tool.
Click the Equipment or Equipment Name drop-down menu and search for the equipment.
If it has yet to be created, select Create Equipment.
Enter the equipment ID.
Click Create to add it to the item and the 'Project-Only Equipment' tab in the project's Equipment tool.
Enter the relevant inspection details for each field.
Optional: Under Inspection Items Preview, review the inspection items and their response options.
Click Create.
With the bulk create feature, you can quickly create multiple inspections with identical details to save time.
In the new field titled Number of Inspections, enter the desired quantity. You can use the up/down arrows or type the number directly.
Optionally, you can set the starting number for the inspections in the sequence. For example, if you set the starting number to 64 and the number of inspections to 5, the inspections will be numbered sequentially starting at 64.
Fill in all the other inspection details (e.g., location, assignee, due date) as you normally would.
Note: All the inspections created in this bulk action will have the exact same details. This feature does not allow you to assign different locations or assignees for each individual inspection.
Once you have filled in all the details, click Create.

Additional Information:
This action can also be performed while an active network connection is not available on your mobile device (offline mode). Tasks performed in offline mode will be synced with Procore after a network connection has been reestablished.

This asset or item can be viewed or edited in offline mode if it was previously viewed and cached on your mobile device. Tasks performed in offline mode sync with Procore once a network connection is reestablished.

The Equipment section allows you to track the usage hours of equipment and machinery for the project, the time of their inspection, and the associated cost code.
To sync Equipment Timesheets with Site Diary entries, the following must be true:
The required fields in your Daily Log Equipment fieldset must match those in your Equipment Timesheets fieldset.
The Site Diary must be open and not marked as 'Complete'.
Navigate to the project's Site Diary tool.
Scroll to the Equipment section.
You can also use the left navigation menu to quickly navigate to the Equipment section.
To create an entry, add information to the fields.

Company: Select the company name for which you are creating this log entry.
Equipment Name. Select the equipment involved.
Select Existing Equipment

Inspected. Mark the checkbox if the equipment was inspected.
Inspection Time. Enter what time the equipment was inspected.
Comments: Enter any comments or additional information that further describes the entry (if required).
Attachments: Attach any additional files to the entry. To attach the files, do one of the following:
Click Attach File(s) and then drag-and-drop a file from your computer to the Drag and Drop your File(s) area.
OR
Click Upload Files to select a file from your computer.
4. Click Create.
The log entry is created or added.
If required fields are empty, click Fix Errors to go to the first empty field. Click Next Field or Previous Field to view other empty required fields.
After the required fields have been entered, you will be able to create or save the form.
Manage any equipment added to this section by viewing the Equipment list on the Equipment page of the Admin tool.
Note: Requires 'Admin' permissions on the Admin tool.
Equipment Name: Tap the Equipment Name field. Enter the name of the equipment.
# Hours Operating: Enter the number of hours the equipment was operating.
# Hours Idle: Enter the number of hours the equipment was idle.
Cost Code: Tap the Cost Code field. Select from the drop-down menu the cost code associated with the entry.
Location: Select a location from the menu. Tap a tiered location to pull up any sub locations. Tap Add to add that location. You may also tap QR in the top right to scan a location's QR code if a team member has Generated Location QR Codes for the worksite.
Inspected: By default, the Inspected button will be set to 'No.' Toggle the Inspected button to 'Yes' if the equipment was inspected that day.
Inspection Time: Enter the time the equipment was inspected by selecting the hour and minutes from the menu.
Attachments: Tap on the following options to add photo or file attachments to the entry:
Camera: Use your mobile device's camera to take a photo that is automatically added to the entry once you exit the camera.
Take a photo without mark up.
Tap the shutter to take a photo.
Tap Done to attach it to the entry.
Take a photo with mark up.
Tap Markup to take the photo and immediately mark it up.
Tap the shutter to take a photo.
Mark up the photo.
If you want to save both the original and marked up photo, mark the Save as New Photo option, then tap Save. OR If you want to only save your marked up photo, clear the Save as New Photo option, then tap Overwrite.
Tap Done to attach it to the entry.
Photos: Tap to select photos from your device's Gallery OR from Procore's Photos tool in the project.
Add from Procore
Tap Procore Photos.
Tap the album.
Tap the photos.
Tap Done to attach it to the entry..

Tap Upload Photos.
Tap the photos.

Files: Select a saved file from your mobile device to add it to the entry.
Tap the file to automatically attach it to the entry.
Notes: Enter any notes that may describe the entry.

Tap into the following fields to enter information.
Equipment Name: Tap and select the equipment from the drop-down list.
Hours Operating: Tap and enter the number of hours the equipment was active.
Hours Idle: Tap and enter the number of hours the equipment was idle.
Cost Code: Tap and select the cost code associated with the entry.
Location: Tap and select the location from the drop-down list.
Inspected: Tap to mark the checkbox if the equipment was inspected.
Inspection Time: Tap and enter what time the equipment was inspected.
Comments: Tap and add any comments.
Tap Create.
Click Fix Errors to go to the first empty field, if the required fields are empty.
Click Next Field or Previous Field to view other empty required fields.
After the required fields have been entered, you will be able to create or save the form.
Quickly document out-of-scope work from the field by creating a Daywork sheet. Use this tool to log labour, equipment, and materials, and to capture required stakeholder signatures on-site.
To appear in the list for the 'Ordered by' and 'Signee' fields, the person must have a user account in the project's Directory tool. See Add a User Account to the Project Directory.
To appear in Labour category, people must be listed as employees or workers for your company. See Add Someone as an Employee of Your Company or Add a Worker.
To appear in list for the 'Company' field, the company must have a record in the Project Directory. See Add a Company to the Project Directory.
Statuses
The status is set to 'In Progress' status when created.
The status is updated to 'Ready for Review' when the sheet has been signed by the Company Signee.
The status is updated to 'Field Verified' when the the sheet has been signed by the Customer Signee.
Navigate to the project's Daywork Sheets tool.
Click Create.
Fill out the 'General Information' section of the form.
Show/Hide Fields
Ordered By. The person in your project directory that ordered the work.
Location. The location the work was performed.
Reference Number. A reference number for the work.
Performed On. The date the work was performed.
Description of Work. A description of the work that was performed.
In the 'Labor' section, enter labour information. Then click Add.

Employee. The person in your project directory that performed the work.
Classification. The person's classification.
Time Type. The kind of time to be billed.
Hours. The quantity of hours worked.
In the 'Materials' section, enter information for the installed materials. Then click Add.

Description. A description of the materials.
Unit. The unit of measure for the materials.
Quantity. The quantity of materials used.
In the 'Equipment' section, enter information for the equipment used. Then click Add.

Equipment. The equipment in your project's equipment tool used to perform the work.
Description. A description of the equipment.
Quantity. The quantity of hours the equipment was used.
In the 'Subcontractors' section, enter the relevant information. Then click Add.

Company. The company listed in your project's directory.
Description. A description of the company.
In the 'Approvals' section, select the Signees from the drop-down list.
Company Signee. A company signee is a person with signature authority for the company performing the work requested in the sheet.
Customer Signee. A customer signee is a person with signature authority for the entity that requested the labour, materials, or equipment being requested in the Daywork sheet.
Optional: In the Notes box, type any additional notes you want to add to the sheet.
Optional: In the Attachments area, you can attach photos or any important documents, emails, or forms associated with the sheet.
Click Save to create a Daywork sheet is 'In Progress' and actively being worked on.

In Procore, timecards and timecard entries are used to log the number of hours employees and workers spend doing work on a construction project. Each day, you will create a new daily timesheet. A daily timesheet contains the individual timecard entries submitted by your employees and workers for a specific date. By default, Procore's timecard entries track the work's cost code, work location, number of hours worked, time type (for example, regular or overtime), and mark whether or not the entry's hours are billable. A tool administrator also has the option to configure your project's timesheets to capture timekeeping data such as classifications and sub-jobs.
You can also use these options to create a new daily timesheet:
Procore's timecards and timesheets track the hours employees and equipment spend on a construction project.
When timecards are created, they are added to a daily timesheet. Within a timesheet, individual timecard entries track the employee and equipment hours. For employees, information tracked includes cost code, work location, hours worked, time type (like regular or overtime), and whether the hours are billable. For equipment, the task code and the operating hours are tracked.
An administrator can also configure timesheets to record employee data such as classifications and sub jobs.
You can only bulk enter labour.
Employees and workers can have multiple timecard entries on a daily timesheet.
Zero hour timecard entries are supported to provide flexibility to enter time off and per diem.
'Approved' timecard entries cannot be deleted.
Additional edits cannot be made after a timecard entry has been marked as 'Completed.'
Company Timesheets Administrators can limit the cost codes and types that appear the selectors when creating timecard entries. See Configure Advanced Settings: Company Level Timesheets.
Project Timesheets Administrators configure how time is collected for each project. Additionally, each some fields can be configured as required, optional, or hidden.
Equipment. Show/Hide Details
To sync Equipment Timesheets with Site Diary entries, the following must be true:
The required fields in your Equipment Timesheets fieldset must match those in your Site Diary Equipment fieldset.
The Site Diary must be open and not marked as 'Complete'.
Users must have permissions to create a timecard entry.
Users must have permissions to create an equipment Site Diary entry.
Resource Planning. Show/Hide Details
Users under the 'Assigned to Project' or 'Assigned Employees' sub header have corresponding assignments in the Resource Planning tool. Their start and stop times are automatically filled in based on their assignment in Resource Planning.
Users must be added to the project in Procore for their Resource Planning assignment hours to automatically populate in Timesheets. See Add an Existing User to Projects in Your Company's Procore Account.
Requirements to be added to a Timesheet. Show/Hide Details
The person must be added to a the Directory and marked as an employee of your company.
Employees who are only entered in the Company Directory can be selected if the 'Employee Tracking on Projects' setting is enabled.
Note: With the setting enabled, you must have at least 'Read Only' permissions on the Company Directory tool to see all employees and workers.

Grid-Based Entry is available on iPads, when task codes are enabled.
You can only have one draft per person. Drafts do not appear on web or on another user's device.
To create a timesheet for equipment you must configure the following settings:
Enable Task Codes
Set the default cost type for Equipment in the Company Timesheets tool.
To select a site team, first create a site team in the Site teams tool.
To add quantities, you must Import a Unit Quantity Based Budget, and optionally, Enable Sub Jobs.
To use Grid Entry on a tablet, you must enable Task Codes
Tablet users: Tap Change View to toggle between the Grid
and Line
views.
Open the Procore app on an iOS mobile device and select a project.
Tap the quick create
icon and select Timesheet.
OR
Tap the Timesheets tool and tap the create
icon.
If prompted, tap Create New Timesheet.
Tap Site teams, Employees, or Equipment.
Tap the site teams, employees, or equipment that you want to create a timecard for.
Tap Done.
Tap the Date field and choose the date that you want to create a timecard for.
Tap Done.
Enter time for Labour.
Tap Add Line next to the site team member or employee name to enter information into the timecard.

Classification: The resource classification.
Codes
Task Code: A combination of Cost Codes and Sub Jobs.
Cost Code: The cost code associated with the time entry.
Sub Job: Select from the drop-down menu the sub job associated with the time entry.
Location: The location where the work was performed.
Time
Total Time: The total time worked for the day.
Start Time: The time the resource started working.
Stop Time: The time the resource stopped working.
Lunch Time: The amount of time taken for a lunch break.
Notes:
The amount of time selected will be subtracted from the Total Time.
This field will only be available if Start Time and Stop Time is enabled.
Time Type: Select the type of pay being entered.

Billable: Tap the toggle to indicate whether or not the entry is billable.
Auto-Apply Overtime Rules (Beta). Tap the toggle to automatically enforce overtime rules.

Tap Add Line to add a new line for the timecard.
Tap Apply.
Enter time for Equipment.
Tap Add Line next to the equipment to enter information into the timecard.

Operator: The user operating the equipment.
Operating Hours: How many hours the equipment was operating.
Idle Hours: How many hours the equipment was idle.
Tap Add Line to add a new line for the timecard.
Tap Apply.
Review the summary for the timecard's hours, and the daily and weekly hours across all projects.
Submit the timesheet.
Tap Submit to submit.
Tap Submit and Add Quantities to add quantities to a timesheet.
Open the Procore app on an iOS tablet and select a project.
Initiate a Timesheet
New Timesheet
Tap the quick create
icon and select Timesheet.
Tap the Timesheets tool and tap the create
icon and select Create New Timesheet.
Copy a Timesheet
Tap Copy From Previous to copy the previous timesheet that you created.
Tap Copy From Any Date to copy any previous timesheet that you have access to. Then tap the timesheet to copy.
Tap Site teams, Employees, or Equipment.
Tap the site teams, employees, or equipment that you want to create a timecard for. Then tap Done.
Tap the task codes to apply to the timecards. Then tap Done.
Note: Later in the workflow, you will allocate time for the relevant task codes for each person.
Optional: Tap the date field and select the date that you want to create timecards for.
Follow steps to enter or update timecard information:
Enter Time by Tapping Cells
Tap any task code field for a user or equipment and enter the timecard information.
Note: You can tap multiple cells to bulk enter time.
Show/Hide Fields for Labour
Task Code: A combination of Cost Codes and Sub Jobs.
Location: The location where the work was performed.
Time
Total Time: The total time worked for the day.
Start Time: The time the resource started working.
Stop Time: The time the resource stopped working.
Note: You will only see the Start and Stop fields if you have configured your settings to show these fields. See Configure Advanced Settings: Project Level Timesheets.
Lunch Time: The amount of time taken for a lunch break.
Notes:
The amount of time selected will be subtracted from the Total Time.
This field will only be available if Start Time and Stop Time is enabled.

Procore's timecards and timesheets track the hours employees and workers spend on a construction project.
When timecards are created, they are added to a daily timesheet. Within a timesheet, individual timecard entries track the employee's hours, cost code, work location, hours worked, time type (like regular or overtime), and whether the hours are billable.
An administrator can also configure timesheets to record data such as classifications and sub jobs.
You can only bulk enter labour.
Employees and workers can have multiple timecard entries on a daily timesheet.
Zero hour timecard entries are supported to provide flexibility to enter time off and per diem.
'Approved' timecard entries cannot be deleted.
Additional edits cannot be made after a timecard entry has been marked as 'Completed.'
Company Timesheets Administrators can limit the cost codes and types that appear the selectors when creating timecard entries. See Configure Advanced Settings: Company Level Timesheets.
Project Timesheets Administrators configure how time is collected for each project. Additionally, each some fields can be configured as required, optional, or hidden.
Equipment. Show/Hide Details
To sync Equipment Timesheets with Site Diary entries, the following must be true:
The configurable fieldset for Site Diary Equipment Entries must match the Equipment fieldset for Timesheets.
The Site Diary must be open and not marked as 'Complete'.
Users must have permissions to create a timecard entry.
Users must have permissions to create an equipment Site Diary entry.
Resource Planning. Show/Hide Details
Users under the 'Assigned to Project' or 'Assigned Employees' sub header have corresponding assignments in the Resource Planning tool. Their start and stop times are automatically filled in based on their assignment in Resource Planning.
Users must be added to the project in Procore for their Resource Planning assignment hours to automatically populate in Timesheets. See Add an Existing User to Projects in Your Company's Procore Account.
Requirements to be added to a Timesheet. Show/Hide Details
The person must be added to a the Directory and marked as an employee of your company.
Employees who are only entered in the Company Directory can be selected if the 'Employee Tracking on Projects' setting is enabled.
Note: With the setting enabled, you must have at least 'Read Only' permissions on the Company Directory tool to see all employees and workers.
Grid-based entry is available on tablets, when task codes are enabled.
When selecting a Site team, the 'Assigned Employees' have corresponding assignments in the Resource Planning tool. Their start and stop times are automatically filled in based on their assignment in Resource Planning.

To create a timesheet for equipment you must configure the following settings:
Enable Task Codes
Set the default cost type for Equipment in the Company Timesheets tool.
To select a site team, first create a site team in the Site teams tool.
To add quantities, you must Import a Unit Quantity Based Budget, and optionally, Enable Sub Jobs.
To use Grid Entry on a tablet, you must enable Task Codes.
Open the Procore app on an Android mobile device and select a project.
Tap the quick create
icon and select Timesheet.
OR
Tap the Timesheets tool and tap the create
icon.
Tap New Daily Timesheet.
Tap Site teams, Employees, or Equipment.
Tap the site teams, employees, or equipment that you want to create a timesheet for.
Tap Done.
Tap the Date field and choose the date that you want to create a timesheet for.
Tap Done.
Enter time for Labour.
Tap Add Line next to the site team member or employee name to enter information into the timecard.

To see equipment hours in your budget, you must create a budget view with the 'Equipment Timecard Hours' column. We recommend using the Labour Productivity Cost view as it contains the most relevant columns, and adding Equipment Timecard Hours to that view.

If your company account is using the ERP Integrations tool, Procore automatically provides you with a budget view for your Integrated ERP System. See Which ERP integrations are supported by Procore? for details about your specific ERP connector.
Any custom budget views that you create for an ERP Integration must contain all of the required ERP data columns. This ensures that Procore can send the required budget data to the company's ERP Integrations tool for acceptance for export to the integrated ERP system by an Accounting Approver. See Send a Budget to ERP Integrations for Accounting Acceptance.

After closing the Configure Columns window, the system returns you to the new budget view's window. Under Column Configuration, you can get an idea of how your budget view will look in Procore by selecting a project from the Preview with Project drop-down list.
After previewing your budget view and determining that it suits your business needs, you can assign it one or more Procore projects.

Navigate to the project's Budget tool. Then click the Budget, Budget Details, or Project Snapshot Status tab and select an option from the View menu. To add views to this menu, see Assign a Budget View to a Project.

Procore's Equipment tool ensures all machines are optimally used and effectively managed from arrival to departure. The project's Equipment tool shows what equipment has been assigned to your project and is available for use in the project's Timesheets, Inspections and Budget tools.
The Equipment tool must be enabled for your project. See Add and Remove Project Tools.
Equipment on the Registry tab includes full details for equipment that is owned or subcontracted by your company. Records here are also added to the company's Equipment Registry.
The Project-Only Equipment tab includes short term or temporary equipment that was created in the Site Diary, Incidents, or Inspections tools. These records are not added to the company's Equipment Registry.
Navigate to the project's Equipment tool.

Click the Registry tab and the Equipment ID to view the equipment details.
Click the Project-Only Equipment tab to view temporary equipment that was created in the Site Diary, Incidents, or Inspections tools.
