Export the Defect List Register

Objective

To export the Defect List register to a PDF or CSV file.

Background

For users who do not have access to the Defect List tool or prefer a printout of their open defect list items, you may want to provide them with a PDF that includes related photos and drawing snapshots. By providing your construction personnel with important visual information that helps them better understand the nature of the open item and what's required to properly resolve it, you'll be able to expedite the defect list process.

Things to Consider

  • Required User Permissions:
    • 'Read Only' or higher permissions on the project's Defect List tool.
  • Additional Information:
    • Use the filters (e.g. Assignee Company, Location, Type, etc.) to focus attention on specific items and limit total page length. For example, you may want to export contractor-specific PDFs.
    • 'PDF w/ photos & drawings' exports that have 300 or more defect list items are at a greater risk to fail or time out. We recommend limiting this type of defect list export to less than 300 items at one time.

Steps

  1. Navigate to the project's Defect List tool.
  2. Click Export.
  3. Click one of the following options:
    • PDF: This option provides a concise summary of the defect list items in your register. The PDF will be downloaded to your local computer.
    • PDF w/ descriptions: This option provides a concise summary of the defect list items in your register. The PDF will be downloaded to your local computer.
    • PDF w/ photos & drawings: This option provides a detailed PDF of the defect list items including thumbnails of attached photos and snapshots of linked drawings. The PDF will be prepared and emailed to you as a PDF attachment.
Note: 'PDF w/ photos & drawings' exports that have 300 or more defect list items are at a greater risk to fail or time out. We recommend limiting this type of defect list export to less than 300 items at one time.
    • CSV: This option provides a spreadsheet of the items. The CSV file will be downloaded to your local computer.
  4. Each type of export includes the following fields for defect list items:
    • Number
    • Title
    • Type
    • Assignee Company
    • Assignee Name
    • Assignee Response
