Perform an Action Plan

Objective

To perform an action plan that was created and published in the project's Action Plans tool.

Things to Consider

  • Required User Permissions:
    • 'Admin' level permissions on the project's Action Plans tool.
      OR
    • 'Read Only' or 'Standard' level permissions with additional granular permissions. See Permissions.
  • Limitations:
    • The action plan cannot be performed while it is in 'Edit' mode.
    • Documents, Submittals and Meetings added as references are not currently available to view on mobile.
    • Mobile users cannot currently see if Documents, Submittals or Meetings are requested as records.

Steps

  1. Navigate to the project's Action Plans tool.
  2. Click View next to the action plan you want to perform.
    Note: If the 'View' button is not clickable, the action plan is in 'Edit' mode and can only be accessed by users with 'Admin' level permissions on the project's Action Plans tool.
  3. Review the sections and items.
    Note: Some sections and items may be unavailable to complete if one or more other items were added with 'Blocking Functionality'. See What is 'Blocking Functionality' in an action plan?
  4. Set the status for individual items (Open, In Progress, Delayed, Closed)
    Note: Items marked as 'Closed' update the progress bar in the 'General Information' section.
  5. Optional: Under the 'Due Date' column, change or remove the due date for the items.
  6. Under the 'Assignees' column, complete the following for items that require signatures:
    Note: Signatures required from assignees that are marked with an asterisk (*) have 'Blocking Functionality' configured and must be completed to release other items to be completed.
    • To record a signature an entity ('Contractor', for example):
      • Click the link for the entity that you want to record a signature for.
      • Select yourself or another person from the drop-down menu.
         Note
        • If assigning Users as assignees, they must be an active user or contact in the Project level Directory tool.
        • Users with the 'Sign as Action Plan Assignee' granular permission can only select themselves from this drop-down menu.
        • If someone (including yourself) is already designated as an assignee, they cannot be selected from this drop-down menu.
        • If you selected yourself, add your signature and click Sign.
          OR
        • If you selected another user, have them add their signature and click Sign.
           Important
          By clicking "Sign" you are signing this form electronically and agree that your electronic signature is the equivalent of your manual signature
    • To record a signature for yourself or another person:
      • Click the link for yourself or the person that you want to record a signature for.
      • If you selected yourself, add your signature and click Sign.
        OR
      • If you selected another user, have them add their signature and click Sign.
         Important
        By clicking "Sign" you are signing this form electronically and agree that your electronic signature is the equivalent of your manual signature.
  7. Under the 'Assignees' column, complete the following to add additional assignees to an item:
    • Click +Add Assignees. In the 'Add Assignees' window:
      • Click Select Assignee and select the responsible party (an entity or a specific person).
        OR: Click Select Assignee and then click Create Person to add a new contact as the assignee. See What is a 'contact' in Procore and which project tools support the concept?
      • Click +Add Assignee to add additional responsible parties.
      • Click Select Verification Method and select the method the responsible party should use to verify the item's completion. See Create Action Plan Verification Methods.
        OR
        To create a verification method while performing the action plan with 'Admin' level permissions on the Company level Admin tool:
        • Click +Create New Verification Method.
        • Enter a name for the verification method. 
        • Click Create.
      • Click Save.
        Notes:
        • Assignees added when an action plan is being created or edited are considered required and can only be removed while creating or editing an action plan.
        • Additional assignees added while an action plan is being performed are considered optional and can be removed while performing or editing an action plan.
        • 'Blocking Functionality' can only be configured when an action plan is being created or edited.
  8. Under the 'Records' column, complete the following for items that require a new inspection to be completed or an existing inspection to be linked to the action plan:
    • Click the link for the item (e.g., Site Safety Inspection).
    • In the sidebar that displays, click Create New or Link Inspections.
      • Create New: Click this option to go to the Project level Inspections tool where you can create a new inspection (using the selected template) that can be linked to the action plan once the inspection is created.
        Notes:
        • Only users with the appropriate permissions on the Project level Inspections tool can create an inspection. See Create a Project Level Inspection.
        • Once the inspection has been created, return to the action plan and click Link Inspections (see below) to add it to the action plan.
      • Link Inspections: Click this option to link an existing inspection to the action plan.
        • In the 'Link Inspections' window, mark one or more checkboxes next to the inspections you want to link to the action plan and click Save.
  9. Under the 'Records' column, complete the following for items that require a correspondence item to be created to the action plan:
    • Click the link for the item (e.g., General Correspondence).
    • In the sidebar that displays, click Create New or Link Correspondence.
      • Create New: Click this option to go to the project's Correspondence tool where you can create a new correspondence item (using the selected correspondence type) that can be linked to the action plan once the correspondence item is created.
        Notes:
        • Only users with the appropriate permissions on the correspondence type can create a correspondence item. See Create a Correspondence Item.
        • Once the correspondence item has been created, return to the action plan and click Link Correspondence (see below) to add it to the action plan.
      • Link Correspondence: Click this option to link an existing correspondence item to the action plan.
        • In the 'Link Correspondence' window, mark one or more checkboxes next to the correspondence items you want to link to the action plan and click Save.
  10. Under the 'Records' column, complete the following for items that require an attachment to be added:
    • Click Attachments Requested.
    • In the 'Attachments Requested' sidebar, click +Add Attachment.
    • To add an attachment from your computer:
      • Drag and drop one or more attachments from their locations on your computer.
        OR
        Click Attach File(s) and attach one or more attachments from their locations on your computer.
    • To add a document as an attachment:
      • Click Documents and mark the checkbox(es) of the document(s) to add.
        Note: Documents added as records reflect the version of the document at the time it was added as a record.
    • Click Save.
  11. Under the 'Records' column, complete the following for items that require a photo to be added:
    • Click Photos Requested.
    • In the 'Photos' sidebar, click +Add Photo.
    • Drag and drop one or more photos from their locations on your computer.
      OR
      Click Attach File(s) and attach one or more photos from their locations on your computer.
    • Click Save.
  12. Under the 'Records' column, complete the following for items that require a Submittal to be added:
    • Click Submittals.
    • In the 'Submittals' sidebar, click +Create New or Link Submittals.
      • Create New: Click this option to go to the project's Submittals tool where you can create a Submittal that can be linked to the action plan once it is created.
        Note: Only users with the appropriate permissions on the Submittals tool can create a Submittal. See Create a Submittal.
      • Link Submittals: Click this option to link an existing Submittal to the action plan.
    • Click Save.
  13. Under the 'Records' column, complete the following for items that require a Meeting to be added:
    • Click Meetings.
    • In the 'Submittals' sidebar, click +Create New or Link Meetings.
      • Create New: Click this option to go to the project's Meetings tool where you can create a Meeting that can be linked to the action plan once it is created.
        Notes: 
        • Only users with the appropriate permissions on the Meetings tool can create a Meeting. See Create a Meeting.
        • Meetings cannot currently be created from a template.
      • Link Meeting: Click this option to link an existing Meeting to the action plan.
    • Click Save.
 Tip

Not seeing the record request you are looking for? Request records that were not originally requested in the Action Plan by clicking Add Records in the 'Records' column.
