Variations and Change Events

  1. Procore > Select project > Tools > Change events 
    • Procore's way of managing the change before something becomes a variation because some change events don't become variations 
  2. Click Create - fill out. 
    • Title, status (open), origin (source), type, reason, scope, head contract for markup estimates (automatic) 
  3. Attach any documents 
  4. Add line > add budget code, description, vendor, unit of measure (ls), Add in the Unit costs and Quantity as 1 for Revenue/Cost/Budget. 
    • If there's a PO for it, add in the contract 
  5. Click create 
  6. Optional: Select change evens, click send requests for quote (RFQ) 
  7. Select the change event - add to Head contract PV. 
  8. HC PV - New Head PV - Contracts - Project's Contract 
    • Might want to create a Head Contract called Variations? 
  9. Takes you to New Potential Variation 
    • Auto populates, change Status to Approved, and HC Variation to Create New 
  10. Click Create 
    • VO is found under contract number in head contracts tool 
  11. Create Head Contract VAR to the Potential variation 
  12. Title, claim date, due date, add potential variation, click create 
  13. Commitment - Add to PO - New Purchase Order or Subcontract 
  14. Fill in, then click create. 
    • Company, status to approved, dates? 
  15. VO is found in Contracts tab under Commitments tool 

Overview

The Change Events tool allows you to track potential costs by better coordinating the entire change management process.

  • Create a change event based on a Request for Information (RFI) and add line items by cost code
  • Log all change events
  • Create a Request for Quotes (RFQs) email based on a Change Event to your contractors and associate the RFQ with a commitment
  • Review RFQs responses from contractors and then Create a Head Potential Variation
