Search for and Filter Program Tasks

Objective

To search and filter for programmed tasks.

Things to Consider

  • Required User Permissions:
    • 'Read Only' or higher permissions on the project's Programs tool. 
  • Additional Information:
    • The Search bar is not available when viewing the program in the Gantt view.
    • Program tasks are defined in an integrated project programd (e.g. MS Project, Primavera P6, etc.).
    • Calendar Items are single events that are added to the program using Procore (e.g. programd deliveries, utility shutdowns, etc.).

Steps

Search for Programmed Tasks

  1. Navigate to the project's Program tool.
  2. Click the List or Calendar view.  
    Note: Search is not available in the Gantt or Lookahead view. 
  3. Type a keyword or phrase in the Search bar.
    The following fields are searched for the specified keyword terms:
    • Task name
    • Resource name
  4. Click Search.
    Note: You will see a list of any programmed tasks that meet your search requirements.
  5. To clear your search, click the X in the search bar.

Filter Programmed Tasks

  1. Navigate to the project's Program tool.
  2. Click the All, Day, Week, or Month view. 
  3. Click the Filter icon-filter2.png icon:
    • Resource: If you had set resources for tasks, you can select a resource to filter by.
    • Person: Select a person to filter by tasks they are listed on.
    • Is Milestone: Mark this checkbox if you would only like to view project milestones.
    • Summary Task: Select summary tasks to filter events by.
    • Display Summary Tasks: Mark this checkbox if you would like the filter results to display summary tasks.
    • Date: Select a date to see tasks that happened on that date.
  4. Click Filter.
  5. To clear your filters, click the X in the filtered field or click 'Clear all filters'.

Filter the Gantt View

  1. Navigate to the project's Program tool.
  2. Click Gantt to open the Gantt chart view. 
  3. Click Add Filter
  4. Choose from the following options:
    • Date Range: Select a date range to see tasks that happened during that time period.
    • Resource: If you had set resources for tasks, you can select a resource to filter by.
    • Critical Tasks: Displays tasks that have been set as "Critical Path" in the native program file.
    • Summary Tasks: Select Summary Tasks to filter by events.
    • Completed Tasks: Displays completed program tasks.
    • Incomplete Tasks: Displays incomplete program tasks.
