Configure the Number of Head Contract Variation Tiers

Objective

To configure the number of Head Contract Variation (HCV) tiers for your project's Head Contracts tool.

Background

When you initially set up the Prime Contracts tool for a project, you can choose between a 1-tier, 2-tier-, or 3-tier configuration.The settings you choose determine how many steps are required for managing change orders on the project. See What are the different change order tiers? This setting must always be configured before your project users start creating PCCOs. It is also important to note that the system will NOT permit you to change this setting once your team starts creating change orders. 

Things to Consider

  • Required User Permissions:
    • 'Admin' level permissions on the project's Prime Contracts tool.
  • Additional Information:
    • This setting MUST be set configured before you create the first HCV on the project.
    • If you do NOT specify a setting, Procore's default setting is the 2-tier configuration.
    • You are NOT permitted to change the variation configuration setting after the first HCV is created.

Prerequisites

Steps

  1. Navigate to the project's Head Contracts tool. 
  2. Click the Configure Settings  icon.
  3. Select one of these options from the Number of Prime Contract Change Order Tiers drop-down menu:
    • 1-Tier (One-tier, a.k.a. 'single-tier')
      Users only need to create a HCV when there is a change on a head contract. The HCV can then be sent to the appropriate project users for review and approval.
    • 2-Tier (Two-tier)
      This is the tool's default setting. With two tiers, your project users will first create one or more Head Potential Variations (Head PCOs). The variations are then grouped into a HCV, which can then be sent to the appropriate project users for review and approval.
      Note: If your company or project's billing process does NOT require you to group all of the approved variations for the month into a single, combined variation for final signature, the two-tier configuration is the recommended setting for the Head Contract tool. 
    • 3-Tier (Three-tier)
      With three tiers, your project users will first create one or more Head PCOs. The variations are then added individually or grouped into a Variation Request (VR), which can then be submitted to the appropriate project users for review and approval. After approval, the CORs can be grouped into a single HCV. 
  4. Click Update.
