Update and Upload a Project Program File

Objective

To update the project program in the native software and upload the program updates into Procore.

Things to Consider

  • Required User Permissions: 
    • 'Admin' level permissions on the project's Program tool.
  • Additional Information:
 Important

If you are uploading an updated project program into Procore via the drag and drop in the project level Program tool, make sure to use the same file name that was previously uploaded. This way the information in the Program Variation Request History section will NOT be cleared. In addition, this will help ensure you do not have duplicate Lookahead Program Activities.

  • Supported File Formats:
    The file types listed below can be uploaded directly:

    • MPP (Microsoft Project)       
    • MPX (Microsoft Project, SureTrak)        
    • XER (Primavera P6, Primavera Contractor)        
    • PP (Asta Powerproject, Asta Easyplan)        
    • XML (Formatted for Microsoft Project, e.g. Smartsheet, OpenProject)         
    • XML (Primavera PMXML)        
    • PPX (Phoenix Project Manager)         
    • FTP (FastTrack Program)         
    • POD (ProjectLibre)         
    • GAN (GanttProject)        
    • PEP (TurboProject)         
    • PRX (Primavera P3)          
    • STX (Primavera SureTrak)         
    • CDPX (ConceptDraw PROJECT)          
    • CDPZ (ConceptDraw PROJECT)          
    • SP (Synchro Scheduler)         
    • ZIP (Compressed file containing one of the supported file types listed above)

Steps

  1. Navigate to the project's Program tool.
  2. From the Gantt view, click + Upload Program
    Note: You are automatically redirected to the Update Program page in the tool's Configure Settings. 
  3. Select a program file from your computer. 
    • Click the Attach File link and select your program file. 
      OR
    • Drag the program file from your computer to the Drag and Drop File area.
  4. Navigate to the program file on your computer or network, then click Open
  5. Scroll to the bottom of the page and click Update.
    Note:
    • A "Program Uploaded, processing should start soon" message appears. Your program is placed into a job queue and the system updates the program on a task-by-task basis. Depending on the number of jobs in the queue and the size of your project program, the overwrite process may take some time to complete. You can continue working in Procore during this process 
    • Important! While the program is being updated, it is recommended that you do not attempt to upload another program update. Doing so will add a second job to the queue and jobs will be processed in the order they were uploaded into the system. 
File Upload Via Procore Drive

  1. Launch Procore Drive on your computer.
  2. Log In Using your Procore Credentials. 
  3. Select your company and project from the drop-down menus.
  4. Select the Program tab. 
  5. Click Upload Program.
    Notes: If the project programming preference is currently configured for a 'Primavera Integration', click the Program File Integration from the drop-down menu.
    After the initial upload and you subsequently proceed to update the program file you will do it through Procore Drive by clicking “Launch Program” and that will open the program file in its native application (e.g. Microsoft Project, Phoenix or Asta Powerproject)
  6. Browse your local file system and select the appropriate Microsoft Project, Phoenix or Asta Powerproject file (*.mpp, *.pp, *.ppx, etc).
  7. Click Open.
  8. Verify that you can see your program and all of its data under your project’s Program tool.
    Note: After you upload your initial program, Procore will now manage that file and save that version in the Documents tool in a locked folder called 'Schedules'. This folder is only accessible to Document tool Admins and serves the purpose of version control and an audit record.
