Edit a Task

Objective

To edit a task using the project's Task tool. 

Background

Users with 'Admin' level permission on the project's Tasks tool can edit all project tasks. Users with 'Standard' level permission can only edit the project tasks that they created or to which they have been assigned. 

Things to Consider

  • Required User Permissions:
    • To edit any task, 'Admin' permissions on the project's Tasks tool.
    • To edit a task that you created, 'Standard' or 'Admin' permissions on the Tasks tool. 
    • To edit a task you did not create yourself for which you are the Assignee, 'Standard' level permissions on the Tasks tool.
      Note: 'Standard' level users who are assigned a task that was created by someone else can only add comments or edit the status of the task. The status of the task can NOT be set to 'Closed' or 'Void' by a user with this permission level unless that user also created the task.
  • Additional Information:
    • A task's 'Due Date' and 'Status' fields can also be quickly edited from the Tasks display table.
    • You can also change the status of a task when adding a comment. 
    • When a task is placed into the 'Void' or 'Closed' status, the system will no longer send automated email notifications for that task. 

Steps

  1. Navigate to the project's Tasks tool. 
  2. Click Edit next to the task you want to modify.
  3. Modify the task's General Information by clicking into the following fields:
    Note: An asterisk (*) denotes a required field. 
    • *Number (#).  Enter a number for the task.
      Note: The system assigns numbers to tasks in sequential order and duplicate numbers are NOT permitted.
    • *Title. Enter a descriptive title for the task.
    • Private. Place a checkmark in this box to make the task private.
      Note: Private tasks are only visible to the task's creator, assignee(s) and users with 'Admin' level permission on the projects Tasks tool. 
    • Assignee(s). Select one or more project users from the drop-down menu or select None if there is no assignee. Users must have 'Standard' or 'Admin' permissions on the project's Tasks tool. 
    • Status. Select one of the available statuses:
      Note: This field can also be edited from the Tasks display table.
      • Initiated. Indicates the task has been created. This is the default status. 
      • In Progress. Indicates work on the task has started. 
      • Ready for Review. Indicates the task is complete and ready for review. 
      • Closed. Indicates the task and review of the work has been successfully completed. 
      • Void. Indicates the task has been voided. 
    • Category: Select a category associated with the task. 
      Note: Task categories are managed at the company level. See Add Task Categories
    • Due Date. Use the calendar control to set a due date for the task. 
      Note: This field can also be edited from the Tasks display table.
    • Description. Type a brief summary describing the task. 
    • Attachments. Click Attach File(s) or use a drag-and-drop operation to attach files to the task. 
  4. Click Save.
