Commitments (PO/SC)

• Procore > Project > Commitments tool
• Create a Purchase Order or Subcontract (Purchase Order vs Subcontract)
  • Add vendor, title, description and shipping details, e.g. site address/instructions. (See Add Company for how to add new vendors.)
  • Attach quote and relevant supplier-provided warranties, guarantees and producer statements. Below is a table of standard warranty and guarantee timeframes for each industry type.
  • Add Delivery/Completion date
  • Add Defect liability period (the default is 12 months from project completion.)
• Add contract detail line > Add Change Event Line Item (Add if it relates to a variation/change event), Budget Code, Description, Amount > Create
• Start Workflow > Respond > Select Response > Approve > Submit
  • It will automatically approve the commitment if it's under budget.
  • If the purchase order is rejected, it indicates that the budget has been overrun. You must then increase the budget (Budget Change) and restart the workflow, follow the steps until approval is received.
